Job Description

  • Organizing and Coordinating Board and  Management meetings
  • Providing general administrative services and managing daily office operations that relate to the Office of Managing Director including daily management while ensuring confidentiality of records and information.
  • Proofreading, alignment and Submission of Boards reports in Directors’ Desk.
  • Responsible for travel and accommodation arrangements for Managing Director, Deputy Managing Director and Boards of Directors.
  • Providing seamless, timely, accurate and responsive service to internal and external customers.
  • Responsible for maintaining MD’s office documents, correspondences, minutes (Management and Board), reports and records including archiving and retrieval as assigned.
  • Screening phone calls, enquiries and requests and handling them appropriately.
  • Liaising with clients, suppliers and other bank stake holders.
  • Ordering and ensuring ready availability of all stationery.
  • Ensuring all security procedures are adhered to.

 

The Person 

 For the above position, the successful applicant should have:

  • Should have a University Degree in a business-related field, Secretariate, Communications, etc. 
  • Professional qualifications (AKIB or ACIB or ICSA) or its equivalent, or an MBA is an added advantage.
  • Minimum of 3 years of private sector experience: 2 years of which should be in general Office Administration function, 1 year in Customer Service
  • Effective business writing and professional communication skills.
  • Ability to work closely with the business units whilst retaining independence.
  • Excellent analytical and problem solving.
  • Demonstrate ability to cope with a changing environment
  • Have a strong attention to detail
  • Ability to work at a fast pace
  • Have methodical approach to prioritize and organize workload to remain within the deadlines.
